Society Board Meeting Minutes 2-20-19

IFGS BOARD MEETING MINUTES

2/20/19 – Final

The revision of the Fantasy Rulebook is underway by the FRC. The SSC is advertising for committee members, as positions are coming open at the end of March. The Registry Handbook had a minor update. The Board has a new policy of safety rules for manufactured foam weapons for inclusion in the Safety Handbook and new rulebook. Dallas Chapter held a successful game writers workshop.

The 2/20/19 Society Board Meeting was called to order at 8:05 p.m. Eastern Time, via Discord. Present were Board Members John Jones, Pat McGehearty, David Spence, Sarah Gibson, Olan Knight and Shelly Ralston. Hugh Greene arrived late. David Gibson from Dallas Chapter, and Hope Fountain from ORV Provisional Chapter also attended. Society Clerk Janice Gott was also present.

 STANDING BUSINESS:

MINUTES: MOTION: To approve the minutes of the 1/15/19 Board Meeting (Spence, Knight, by acclaim).

FRC REPORT: Spence reports that the FRC has moved to meeting every two weeks. They are going through the entire rulebook, and re-organizing it as well as making edits and clarifications. Target date is June 1st. They recommend all committee members retain their positions in March.

SSC REPORT: The SSC will be sending out a call for volunteers for March’s expiring terms.

REGISTRY: This is the end of the year and each chapter needs to send the Society Registry Chair their annual Chapter Admin CAP.  Knight has received CAP for Dallas and Northern Alabama Chapters, and a note from Denver/Boulder saying they are claiming no admin CAP for 2018.

MOTION: To approve Registry Handbook version 3.28, updating current chapters (Knight, Spence, by acclaim).

TECH COMMITTEE: Jones added Shelly Ralston to the Board email group.

GENERAL PROMOTIONS: Received an email from an interested group in Grand Junction, Colorado. Discussed convention games; ORV has been invited back to do another game at CinCitiCon in the fall. ORV and NAL will coordinate on game writing.

Hugh Greene arrived.

CONSTITUTIONAL REVIEW TASK FORCE: No report.

CHAPTER LIAISON UPDATES:  ORV Chapter ran a game last month, and will run one this month. Available room game scripts on hand were discussed. The dissolved Central Ohio provisional chapter has sent the Society Clerk their registry records and contents of their treasury.

MOTION: To appoint Shelly Ralston as Society Liaison to the Dallas Chapter (Knight, Spence, by acclaim).

LATEX FOAM WEAPON REGULATIONS: Knight composed safety rules for manufactured foam weapons and has incorporated comments. The policy will be included in the rulebook, and should be eventually included in the Safety Handbook.

MOTION: To approve the latex foam weapon policy [below] for the rulebook and safety handbook (Knight, Spence, by acclaim).

GAME WRITERS WORKSHOP: The first workshop in Dallas was a success. Two games were written and sanctioned by seven people over the course of eight hours. Various tasks were parceled out. It is suggested that five hours would be the optimal time span for a workshop.

COMMITTEE APPOINTMENTS: All Society Committees have appointments expiring in March. The Committee Chairs are encouraged to recruit for volunteers.

NEW ENGLAND CHAPTER: The New England Chapter was dissolved years ago, but a Board member has heard that a group of old members have gotten together to play games without re-joining Society. They are welcome to do this as long as they do not advertise themselves as an IFGS chapter, and do not use the chesspiece logo in promotional materials. General Promotions will reach out to them.

NEXT BOARD MEETING: The next Board Meeting is scheduled for Wednesday, March 20th, 2019. Times for the meeting are 5 pm Pacific, 6 pm MST, 7 pm CST, and 8 pm EST. The meeting will be held on Discord.  The meeting was adjourned at 9:07 pm EST.

LATEX-FOAM WEAPON POLICY

REMINDER:

As a rule, all latex-foam weapons are legal in IFGS with the following caveats:

  1. The Game Safety Office has the final say on ANY weapon.    If the GSO denies a weapon, that weapon may not be used in the game.
  2. Thrusting is specifically defined to be a light touch on the target, at a 45 degree angle, touching the target on their torso off center-line from the head. Any other form of thrusting is specifically prohibited. Thrusting a latex-foam weapon with force is grounds for expulsion from the game.
  3. Latex-foam weapons include those built by Action Props, EagleFlex, Iron Fortress, Epic Armoury, Palnatoke, Forgotten Dreams, Medieval Armoury, and others.
  4. Calimacil products are NOT latex-foam weapons; they are injection-molded foam weapons with a much denser material that carry a far greater weight than latex-foam weapons.
  5. The Game Safety Officer is strongly encouraged to have a 2 minute combat with the wielder of any weapon they consider to be a potential danger to others; this includes all Calimcail weapons and all very large latex-foam weapons. This is to ensure that the wielder has sufficient control over their weapon so as to prevent causing harm to others throughout the game.
  6. Please remember there are no “safe” weapons, only safe players. All new players should perform a practice fight with the Game Safety Officer before allowing them into the game.

Please let me know if you have any questions.
